其实我也还是做外贸就10月左右,所以经验什么的都不是很成熟,在总结自己的同时还希望帮到比我还新的朋友,前辈不要拍我板砖哦。

发开发信要先找到邮箱,至于找邮箱呢,我觉得至今用的比较顺手的是各国邮箱的后缀(自己搜一下,太长了不好发上来)和一些好的黄页,有些朋友反映用邮箱后缀找不到,那是因为你要分析一下你们的产品在哪里很畅销,用的比较多。比如我们的产品水井管在沙特等中东产石油的地方用的多,那么就那些国建的公共邮箱后缀,搜出来比较多。 其实我觉得开发信这个东西就像我们国内做电话销售一样,我想每个外贸人都很讨厌每天一大堆的网络推广电话,我想老外和我们应该是一样的心情。所以我觉得做外贸的不容易的,每天辛辛苦苦找邮箱发开发信息,而且还被人讨厌,看都没看就删了。有的说喜欢简短的开发信,有的喜欢有点专业性的比较长一点开发信,至于到底怎么样,我有两种版本经常换着发,要多多准备几封进行追踪,邮箱最好设上阅读回执,对有阅读回执的邮件进行追踪,几

周几个月时不时的骚扰一下。要用不同的版本,要不发一样的,看不看都删了,没什么新意。我开发信的内容很大众化就不贴上来了。呵呵

还有一点是开发信是主题,反正我不喜欢什么how are you, hi, my friend,什么的,就用产品名称,或者用RE:貌似比较有效果,呵呵,还有可以突发奇想,比如有一天我用的标题是your water need treatment,(我们做水处理过滤产品的)结果发过去一会就有人回复说介绍一下详细的catalog什么的。当然可能是运气什么的 发开发信需要坚持,不要没有效果就放弃后再抱怨怎么没效果啊没效果啊,因为开发信本身的是一个概率问题,成功率本身就比较低的。所以那句话叫什么来着广撒网才能网大鱼。前辈的话是有道理的。

This is an english writing howto I copied from somewhere (name withheld) some time ago.hopefully youll find it helpful too.

A.文法上

1.切忌主客不分或模糊.例子: Deciding to rescind the earlier estimate, our report was updated to include $40,000 for new equipment.” 应改为 Deciding to rescind our earlier estimate, we have updated our report to include $40,000 for new equipment.(We决定呀, 不是report.)

2.句子不要凌碎.例子: He decided not to audit the last ten contracts.Because of our previous objections about compliance.应该连在一起.

3.结构对称,令人容易理解.例子: The owner questioned the occupants lease intentions and the fact that the contract had been altered with ink markings.应改为: The owner questioned the occupants lease intentions and ink alterations of the contract.

4.单众数不要搞乱,不然会好刺眼,看不舒服.例如: An authorized person must show that they have security clearance.

5.动词主词要呼应.想想这两个分别: 1.This is one of the public-relations functions that is underbudgeted.2.This is one of the public-relations functions, which are underbudgeted.

6.时态和语气不要转变太多.看商务 英语 已经是苦事,不要浪费人家的精力啊.

7.标点要准确.例如: He did not make repairs, however, he continued to monitor the equipment.改为: He did not make repairs; however, he continued to monitor the equipment.

不管是哪一个外贸员,你有多么资深的资历,或者是才开始的外贸新手,都会接触自己外贸路上的第一封邮件;

但是往往我们首次回复很容易陷入误区,这里我说几点自己的看法:

1.收到客户邮件,不要马上盲目的回复!—应该先搜索客户信息

当然,对于我们刚开始入手的外贸业务员来说,首次收到客户的询盘,心里还是有点小兴奋的!但是不要急于马上回复,想着客户看到了也能马上回复你!

我们在收到客户首次询盘的时候,可以先搜索客户信息。

我们公司做付费平台,我个人也做免费的平台,做的“好的”几乎天天有询盘,我依然会先去goole或者用其他的方式去搜索客户的信息。但是仔细一看,一分析,发现那些客户做的产品和我们公司没多大联系,好吧,因为我们的产品可以当礼品,我也就抱着一丝希望回复,当然我这里的回复,只是简单的介绍我们公司,不会给出实质的报价!后来要么没得回复,要么有回复就是钓鱼的,事后,我仔细分析,我就开始怀疑这些询盘都是网站内部发的,这里我就不说明是哪个B2B网站了!

2.客户国家很重要,针对不同的国家回复:要知道欧美那边对产品质量要求高,信誉度好;中亚非这边则很强调价格的实惠,信誉度弱;当然这只是个大体,不能代表所有!还的具体情况具体分析!

3.不要所有的回复都是模式版回复,要分析来盘;

我再懒的时候,也只会机械性的发开发信,而且发的内容不会每一篇都一样,当然也不会每一篇都不一样,要知道每天有那么多开发信要发,人毕竟还是人,不是机械,但是我也绝不会群发。但是我身边有的外贸员,就怕麻烦;先写好一篇回复,结果不管客户仍什么,都复制粘贴发过去了,这样没回过去的,多半是一场空,所以要偷懒,也要懂得偷懒的方法!来了询盘,最好先分析,再回复,做到自己心里有数!

4.不要只回复强项的产品,每个询盘都是有价值的;

5.不要老是详尽的自我介绍,只要别人知道你家卖什么都就OK了!尽量突出自己的优势;

6.写邮件,也不要太客套,纠缠了,应该专业,结合重视;

7.不应积极主动多渠道的联系,应该关注客户感受;

有得外贸员老是急于求成,今天想尽办法加了客户的MSN,明天想办法加了客户的SKYPE···生怕客户逃走了一样,然后就开始MSN上问下,SKYPE 上问下,这样很容易让客户反感的!我们换位思考下,如果是你,你会有何感想?

泛泛咨询时,往往真实购买意图一般,除非其正好需要/感兴趣您现在的产品或您挑选出的主打产品。对能给予继续回复的买家应继续重点追踪,未回复的买家可在转发首次回复邮件基础上询问买家是否有收悉X月X日的回复。

二、询盘为针对公司具体产品发的询价

此类询盘价目标性较强,真实有效性较高,需重点跟进。倘若已据询盘内容做出了具体回复,并报了价格,但买家没有再回邮件,可发以下邮件提醒:

如果连续三封邮件发出去之后买家仍然无动于衷,基本证明买家可能对您产品/价格不感兴趣或者由于其他原因暂时不需要您的产品,可暂时搁置,将时间用在继续寻找新的目标客户上。当然也有很多非常好的买家会被您的毅力感动,回复告诉您一些关于产品进展的情况。我们千万不可急于求成,应仔细分析家客户的提示有针对性得去保持追踪。

以下为几种经常收到的买家回复:

1.客户收到跟进邮件后,如暂时对提供的产品无需求的话,他/她一般都会说以后联系,说明以后还是有机会的,这个时候一定要有耐心:

跟进技巧:这类客户建议可通过发新产品介绍或者新报价的方式来保持联系,相信时间久了成为您客户的能性还是比较大的。至少让买家对您留有印象,即使暂时不需要您的产品,日后有需要的时候也会首先可想到您。

4.可能暂时不需要您的产品,但会问其他产品或者详细咨询一些与产品相关的问题,如:

跟进技巧:这样的客户就要根据公司的实际情况来回复了,建议不管能否帮得上忙都能给些回复和建议,暂时不能成为客户也可以先做朋友嘛,至少他问的是与您产品相关的问题,中国有句俗话“多个朋友多条财路”,特别是生意上的朋友!

5.想借机刺探军情的

I am very busy at the moment.If you have US customer as reference, that would help a lot.I am not here to steal information.We use reference in US to generate trust, just like you have “connections” (friends) among Chinese.

跟进技巧:应对这样的买家,如果公司在US地区有关系较好,规模较大的老客户,不妨挑选两个介绍给他/她,这样很能显示您的实力。但回复之前还是应根据公司具体产品在这个地区的推广情况来做妥当回复,站在买家立场多思考其询问的真正目的,考虑已在合作的客户公司是否愿意您将其公司名称透露,因为同一区域的多个采购上不可避免将存在竞争。一般简单告知公司名称即可,谨慎透露对方联系方式。如果在US地区没有客户,可以多介绍一些其他国家的客户来显示公司实力,同时向买家暗示我们在US地区还没有合作伙伴,如果您和我合作,将会帮助您开发整个US市场。

跟进技巧:可根据具体价格情况回复客户,或通过询问客户所在区域和订单量大小来做可能范围内的让步。

综上,对于有效询盘,我们一定要保持跟进。买家每天都会收到很多Offer,如果不恰当跟进,买家很有可能会忽略我们。跟进过程中,更重要的是细细体会各种可能的原因,积极采取相应措施,激发、把握买家购买意图,达成合作。

Tips: 跟进邮件的发送时间宜选择在星期二到星期五期间。星期

六、星期日最好不要进行这样的跟进邮件(特别是主动的业务开发邮件),因为星期一上班后,客户的邮箱里往往会充满了需要处理的工作邮件,人们常常会没有时间或耐心仔细阅读此类业务开发邮件,而丧失机会。

“在商务交往中要尊重一个人,首先就要懂得替他节省时间”,电子邮件礼仪的一个重要方面就是节省他人时间,只把有价值的信息提供给需要的人。

要区分To和CC还有BCC(区分收件人、抄送人、秘送人)

1.To的人是要受理这封邮件所涉及的主要问题的,理应对邮件予以回复响应。(收件者:就具体某项工作而已,一般指直接处理者、需要跟进者、需要回复者)

2.而CC的人则只是需要知道这回事,CC的人没有义务对邮件予以响应,当然如果CC的人有建议,当然可以回Email.(抄送:指只需要知道,例如:上级、其他相关需知道的部门的同事)

3.而BCC是秘送,即收信人是不知道你发给了BCC的人了的。这个可能用在非常规场合。

4.TO,CC中的各收件人的排列应遵循一定的规则。比如按部门排列;按职位等级从高到低或从低到高都可以。适当的规则有助于提升你的形象!

5.只给需要信息的人发送邮件,不要占用他人的资源

6、转发邮件要突出信息

在你转发消息之前,首先确保所有收件人需要此消息。除此之外,转发敏感或者机密信息要小心谨慎,不要把内部消息转发给外部人员或者未经授权的接收人。

正文行文应通顺,多用简单词汇和短句,准确清晰的表达,不要出现让人晦涩难懂的语句。最好不要让人家拉滚动条才能看完你的邮件,千万不要学唐僧。

2.注意Email的论述语气

根据收件人与自己的熟络程度、等级关系;邮件是对内还是对外性质的不同,选择恰当的语气进行论述,以免引起对方不适。

尊重对方,请、谢谢之类的语句要经常出现。

电子邮件可轻易地转给他人,因此对别人意见的评论必须谨慎而客观。“邮件门”就是深刻的教训!

4.一次邮件交待完整信息

最好在一次邮件中把相关信息全部说清楚,说准确。不要过两分钟之后再发一封什么“补充”或者“更正”之类的邮件,这会让人很反感。

5.尽可能避免拼写错误和错别字,注意使用拼写检查

这是对别人的尊重,也是自己态度的体现。如果是英文Email,最好把拼写检查功能打开;如果是中文Email,注意拼音输入法带给你的弱智同音别字。

在邮件发送之前,务必自己仔细阅读一遍,检查行文是否通顺,拼写是否有错误。

6.合理提示重要信息

不要动不动就用大写字母、粗体斜体、颜色字体、加大字号等手段对一些信息进行提示。合理的提示是必要的,但过多的提示则会让人抓不住重点,影响阅度。

7.合理利用图片,表格等形式来辅助阐述

对于很多带有技术介绍或讨论性质的邮件,单纯以文字形式很难描述清楚。如果配合图表加以阐述,收件人一定会表扬你的体贴。

8.不要动不动使用:)之类的笑脸字符,在商务信函里面这样显得比较轻佻

Busine Email不是你的情书,所以:)之类的最好慎用。只用在某些你确实需要强调出一定的轻松气氛的场合,比如现在-:) 附件

1.如果邮件带有附件,应在正文里面提示收件人查看附件

2.附件文件应按有意义的名字命名,不可用外星人才看懂的文件名

3.正文中应对附件内容做简要说明,特别是带有多个附件时

4.附件数目不宜

超过4个,数目较多时应打包压缩成一个文件

5.如果附件是特殊格式文件,因在正文中说明打开方式,以免影响使用

6.如果附件过大(不宜超过2MB),应分割成几个小文件分别发送, 语言的选择和汉字编码

1.只在必要的时候才使用英文邮件

英文邮件只是交流的工具,而不是用来炫耀和锻炼英文水平的。如果收件人中有外籍人士,应该使用英文邮件交流;如果收件人是其他国家和地区的华人,也应采用英文交流,由于存在中文编码的问题,你的中文邮件在其他地区可能显示成为乱码天书。

2.尊重对方的习惯,不主动发起英文邮件

如果对方与你的邮件往来是采用中文,请不要自作聪明的发送英文邮件给他;如果对方发英文邮件给你,也不要老土的用中文回复。

3.对于一些信息量丰富或重要的邮件,建议使用中文。你很难保证你的英文表达水平或收件人中某人的英文理解水平存在问题,而影响邮件所涉及问题的解决。

4.选择便于阅度的字号和字体

中文老实点用宋体或新宋体,英文就用Verdana或Arial字型,字号用五号或10号字即可。这是经研究证明最适合在线阅度的字号和字体。不要用稀奇古怪的字体或斜体,最好不用背景信纸,特别对公务邮件。 结尾签名

每封邮件在结尾都应签名,这样对方可以清楚的知道发件人信息。虽然你的朋友可能从发件人中认出你,但不要为你的朋友设计这样的工作。

1.签名信息不宜过多

电子邮件消息末尾加上签名档是必要的。签名档可包括姓名、职务、公司、电话、传真、地址等信息,但信息不宜行数过多,一般不超过4行。你只需将一些必要信息放在上面,对方如果需要更详细的信息,自然会与你联系。

引用一个短语作为你的签名的一部分是可行的,比如你的座右铭,或公司的宣传口号。但是要分清收件人对象与场合,切记一定要得体。

2.不要只用一个签名档

对内、对私、对熟悉的客户等群体的邮件往来,签名档应该进行简化。过于正式的签名档会让与对方显得疏远。你可以在Outlook中设置多个签名档,灵活调用。

3.签名档文字应选择与正文文字匹配,简体、繁体或英文,以免成出现乱码。字号一般应选择比正文字体小一些。 回复技巧

1.及时回复Email

收到他人的重要电子邮件后,即刻回复对方一下,往往还是必不可少的,这是对他人的尊重,理想的回复时间是2小时内,特别是对一些紧急重要的邮件。

对每一份邮件都立即处理是很占用时间的,对于一些优先级低的邮件可集中在一特定时间处理,但一般不要超过24小时。

如果事情复杂,你无法及时确切回复,那至少应该及时的回复说“收到了,我们正在处理,一旦有结果就会及时回复,云云”。不要让对方苦苦等待,记住:及时作出响应,哪怕只是确认一下收到了。

如果你正在出差或休假,应该设定自动回复功能,提示发件人,以免影响工作。

2.进行针对性回复

当回件答复问题的时候,最好把相关的问题抄到回件中,然后附上答案。不要用简单的,那样太生硬了,应该进行必要的阐述,让对方一次性理解,避免再反复交流,浪费资源。

3.回复不得少于10个字

对方给你发来一大段邮件,你确只回复“是的”、“对”、“谢谢”、“已知道”等字眼,这是非常不礼貌的。怎么着也要凑够10个字,显示出你的尊重。

4.不要就同一问题多次回复讨论,不要盖高楼

如果收发双方就同一问题的交流回复超过3次,这只能说明交流不畅,说不清楚。此时应采用电话沟通等其他方式进行交流后再做判断。电子邮件有时并不是最好的交流方式。

对于较为复杂的问题,多个收件人频繁回复,发表看法,把邮件越RE越高,这将导致邮件过于冗长笨拙而不可阅读。此时应即是对之前讨论的结果进行小结,删减瘦身,突出有用信息。

5.要区分Reply和ReplyAll(区分单独回复和回复全体)

如果只需要单独一个人知道的事,单独回复给他一个人就行了

如果你对发件人提出的要求作出结论响应,应该replayall,让大家都知道;不要让对方帮你完成这件事情。

如果你对发件人的提出的问题不清楚,或有不同的意见,应该与发件人单独沟通,不要当着所有人的面,不停的RE来RE去,与发件人讨论。你们讨论好了再告诉大家。不要向上司频繁发送没有确定结果的邮件。

点击“回复全部”前,要三思而行!

6.主动控制邮件的来往

为避免无谓的回复,浪费资源,可在文中指定部分收件人给出回复,或在文末添上以下语句:“全部办妥”、“无需行动”、“仅供参考,无需回复”。
